Privacy Policy

This policy explains how Noobiesoft ("we", "us", or "our") handles personal information when you use nexus. nexus is a solo business-management app for clients, work, scheduling, files, and invoices.
1. Information we handle
Information you provide
We handle information you add to nexus, including:
- Account details, such as your name, email address, password hash, profile photo, and preferences
- Business details, services, tasks, appointments, and files
- Client contact details and other client records
- Invoices, line items, taxes, payment status, and invoice templates
- Forms, submissions, assets, and booking information when you use those features
- Assistant messages and structured action proposals when you use the optional record assistant
- Messages you send to support
You decide what business and client information to enter. Do not add information you do not have the right to use.
Information collected during use
Our systems receive technical information needed to operate and protect nexus. This can include your IP address, browser and device information, request logs, error details, and security events.
If product analytics is enabled, nexus records limited feature-use events only after you accept product analytics in the cookie notice. These events are used to understand product performance and do not use advertising trackers.
When address suggestions are enabled, the search text you type and optional location bias are sent to Google Places to return address matches. Place identifiers used to finish a selection may also be sent.
Information from other services
We may receive:
- Identity details from a sign-in provider you choose, including Google when you sign in with Google
- Subscription and transaction details from Stripe
- Invoice payment details from Stripe, Square, or PayPal when you connect an account
- Delivery status from email providers
Noobiesoft does not receive your full payment card number.
2. How we use information
We use information to:
- Provide and maintain nexus
- Create invoices, store business records, and deliver files or emails you request
- Process subscriptions and connected invoice payments
- Suggest addresses when you enter locations
- Authenticate accounts and prevent fraud or abuse
- Respond to support requests
- Diagnose errors and improve reliability
- Power the optional record assistant (when enabled): process your typed or transcribed requests and selected record context so nexus can propose create/update actions for your confirmation
- Meet legal obligations and enforce our terms
We do not sell personal information or use it for third-party advertising.
3. Client information
You control the client information you place in nexus. You are responsible for having a lawful reason to collect and use it, giving any required notices, and responding to your clients' privacy requests.
Noobiesoft processes that information to provide nexus to you. A client can see information made available through an invoice, booking page, form, or portal link that you share with them.
4. When information is shared
We share information only as needed:
- Service providers: Hosting, storage, email, monitoring, subscription billing, payment processing, address suggestions, and (when the assistant is enabled) Azure AI providers receive the information required for their work. See Subprocessors.
- Record assistant: When you use the assistant, nexus sends your message text and selected workspace record context to Azure AI to generate replies and structured proposals. Raw microphone audio is transcribed and then discarded; it is not stored. Confirmed changes are saved as normal business records and appear in audits. You can clear assistant conversations from the product.
- Connected payments: Stripe, Square, or PayPal processes invoice payments when you enable the relevant integration. Their terms and privacy policies also apply.
- Legal and safety reasons: We may disclose information when required by law, to respond to lawful requests, or to protect nexus, its users, or others.
- Business transfer: Information may transfer as part of a sale, merger, financing, or reorganization. Any recipient must handle it under applicable law.
- At your direction: We share information when you ask us to or clearly consent.
5. Storage and international processing
nexus and its providers may process information in Canada, the United States, or other countries where they operate. Privacy laws in those countries may differ from those where you live. We use contractual, access, and security controls appropriate to the service and information involved.
6. Retention and deletion
We keep account and workspace information while your account is active. When you delete your account, access is removed and associated account and workspace data is scheduled for permanent deletion after 30 days. Copies may remain for a limited period in backups or where retention is required for security, dispute resolution, tax, accounting, or other legal obligations.
Stripe and other providers keep transaction records under their own retention rules. Data that another person received from a link, email, export, or payment transaction is not deleted from that person's systems when you delete it from nexus.
7. Security
We use safeguards such as encryption in transit, encryption at rest where supported, password hashing, access controls, rate limiting, logging, and monitored cloud infrastructure. No online service can guarantee complete security. Keep your account credentials private and contact us if you suspect unauthorized access.

8. Your choices and rights
Depending on where you live, you may have the right to access, correct, export, delete, or withdraw consent for certain uses of your personal information.
You can:
- Download personal account data from Account Settings
- Export workspace data from Workspace Settings
- Delete your account from Account Settings
- Change cookie choices through your browser or by clearing site data
- Contact contact@noobiesoft.com for an access, correction, or privacy request
We may need to verify your identity before completing a request. Some rights are subject to legal exceptions.
Residents of Québec may also have rights under Québec privacy law, including data portability in applicable circumstances. You may complain to the Office of the Privacy Commissioner of Canada or the appropriate provincial privacy regulator.
9. Cookies
nexus uses essential browser storage for sign-in, security, and saved choices. Product analytics, when enabled, starts only after you select Accept in the cookie notice. nexus does not use advertising pixels.

10. Children
nexus is a business service and is not directed to children under 13 or the minimum age required in their jurisdiction. Contact us if you believe a child has provided personal information through nexus.
11. Changes to this policy
We may update this policy when nexus or its legal obligations change. We will post the new version here and change the date above. We will give additional notice when required by law.
